Privacy
This policy explains the information Oilfield Tailgate receives through this website, why it is used and the choices available to you.
Contact & joinStarting October 17, 2026, you can choose whether this website measures your public-page visits, sponsor and other link clicks, form stages, tool use, visible-page engagement and basic error categories. Analytics is off until you choose Allow analytics. No thanks works equally well, and your choice never changes access to the site, forms, membership or tickets. Use Analytics choices in the footer to change your decision or exclude this tab while testing. Do Not Track and Global Privacy Control override an analytics opt-in.
Your choice is remembered in this browser for up to 180 days. If you allow analytics, a random identifier in sessionStorage groups activity in this browser tab after up to 30 minutes of inactivity; it also resets at UTC midnight and after four hours. It is never linked to your login, membership or contact record. We do not use it to recognize returning people. Browsers with blocked storage or scripts may not be measured.
Only explicitly listed public page names, approved event labels, known referrer-domain categories, approved campaign labels, broad device/browser/operating-system categories and a country code supplied by the hosting service when available are included. We do not store raw IP addresses, full browser strings, arbitrary URLs or query strings, private member/Host/Gatekeeper pages, QR codes, contact details, form answers, calculator values, search text, error messages or uploaded files in analytics. No advertising pixels, fingerprinting, session replay or third-party analytics service is used. Hosting providers may still process ordinary technical request information for hosting and security, as explained below.
The existing Tailgate Host owner can view aggregate reports. Short-lived hashed session and event-deduplication state expires after 24 hours; daily aggregate statistics expire after 90 days. Expired records are deleted during the next collection or owner-report maintenance check, checked at most hourly. If the site is quiet, deletion waits until the next request. No individual event history is retained. Counts can be incomplete or approximate, and form-save or payment-link events do not prove a new registration or completed purchase. Operational RSVP records continue to be handled separately for event administration.
Submitting a website form creates your free Member Connect membership and signs this browser in automatically. A protected cookie keeps that membership signed in for up to 90 days, until you sign out or clear it. The cookie grants access only to the membership created by your form; entering an email address does not verify that address or open an existing account. If you choose a sign in provider, Member Connect receives its account identifier and sign in email; passwords are handled by that provider. Your email and phone are not included in directory results or connection requests. Direct contact details are shared with another member only when you choose to put them in your message or other content.
When you choose to connect a verified Wix member account, we use that identity to let you review and update your own contact information. Connecting it to an existing Member Connect profile requires signing in to both accounts; matching names or email addresses do not automatically merge profiles. Contact updates do not automatically change your visible profile, marketing preferences or ticket records. Sign in sessions are stored securely by the service and can be ended by signing out.
Existing Oilfield Tailgate contacts are enrolled in Member Connect using the primary email on their contact record. Their name, company and title, where available, are discoverable by signed in members by default. Their email addresses, phone numbers and private contact records are not shared. Their existing email subscription preferences continue to apply. Shared or duplicate email records receive membership without attaching personal profile details. Membership is also included with website form submissions. After submission, a short-lived protected cookie carries only that submission into your membership. It is consumed immediately to open your membership, without another signup form or sign in screen. Returning signed in members keep their existing profile and preferences. An unused continuation expires after 30 minutes and is removed after use or sign-out. It never grants access to another account or its private information. Existing accounts are not merged by email. Member profiles are not public or available to search engines. You can opt out of discovery in My profile by unchecking Show my profile and choosing Save privacy preferences, without completing other profile fields. Existing opt outs, blocks and suspended memberships are respected. Contacts without a usable name stay private until corrected. Unclaimed contacts can be found, but connection requests become available only after they sign in. Shared contact records are not merged or used to link accounts. Event plans are also optional, visible to approved members while your profile is discoverable, and do not constitute ticket registration or a confirmed RSVP. Hiding your profile removes it from the directory and event lists; existing conversations remain available. Posts you publish show your chosen name and company even if your directory profile is hidden.
Each active membership has a signed My Tailgate QR code. The code contains an opaque membership reference and signature, not an email address, phone number or contact record. An authorized Tailgate Host can scan it to record attendance for the selected event in the private Host audit. Other people must sign in as approved members before a scan can open the profile details you chose to share. Hidden profiles remain hidden from member scans, while the code can still be used for Host check-in. QR connections use the same request, block and privacy controls as the Member Connect directory.
Messages are available only to the participants through the member interface. Reporting a message shares that selected excerpt and your report with the moderator. Account, message, photo and moderation data are processed by Oilfield Tailgate and its hosting providers to operate and protect the service. This service does not promise end to end encryption. Do not share information that you do not want a recipient to retain.
Uploaded profile photos must be yours or authorized for this use. Location and other optional metadata are removed from supported JPEG and PNG uploads. You can remove your photo, hide your profile, pause connection requests, or block other members. Your permanent connection to the site administrator is the exception. Contact Oilfield Tailgate for account access, correction or deletion requests. Information may be retained when reasonably necessary to resolve abuse reports or meet recordkeeping obligations.
Forum topics, replies, helpful votes and saved-topic choices are stored with your Member Connect membership. Forum content is available only to approved members and is not indexed for public search. Saved-topic choices are private to you; vote totals are visible without identifying who voted. Notifications are currently inside Member Connect. Email alerts are not enabled. Joining through a website form signs you up for Oilfield Tailgate email communications. It does not publish your existing contact or ticket records. Family plans should be managed by an adult; do not publish children’s contact details.
Our homepage, Contact & Join, shop inquiry and member registration forms capture first name, last name, phone and an email address. Work email, title and company are optional; one personal or work email address is enough. General contact forms also offer an optional message and invitation source.
The Vibe Creative Worx SHOP form also asks for hat quantity and pickup or shipping choice. You may provide shipping city and ZIP, or pickup notes.
If you purchase a ticket or sponsorship, submit payment, subscribe to a calendar or contact a sponsor or platform through an external link, that service receives the information you provide to it under its own privacy practices.
Website form submissions are sent to Wix Forms and Wix Contacts. A private enrollment record stores your submitted details, notice version, form source and submission reference so the same submission opens your membership automatically. General Contact & Join submissions support Oilfield Tailgate contact records and email communication. Vibe SHOP submissions are also emailed to Vibe Creative Worx and Matt at the addresses identified on the form for inquiry tracking and fulfillment. Hosting, security and communications providers may process limited technical information such as an IP address, browser or device information, requested pages and timestamps to operate and protect their services.
Vertical Octane discovery responses, including any business or financial details you choose to provide, are stored privately through Wix Forms and shared by email with Marc and Matt for business follow-up, with your permission on the form. Discovery answers are not published in the member directory or on sponsor pages. The form records Oilfield Tailgate as the referral source.
This website also links to services including Eventbrite, PayPal, Venmo, Google Calendar, Google Maps, sponsor websites, social networks and podcast platforms. Once you follow an outside link, that service's terms and privacy policy apply.
Signing in alone does not join Field & Capital or subscribe you across brands. Its Join action enrolls a separate membership; directory visibility is a separate choice, off by default. Event check-in is private and does not join membership. Email addresses, phone numbers and organizer notes are private to you and the authorized existing Tailgate Host.
That original recipient statement remains in force for historical event check-ins and earlier membership submissions. For new submissions under field-capital-program-organizers-2026-10-11-v3, the form explicitly names Matthew Hill and Matt Laird as Field & Capital event organizers and read-only reviewers of the newly submitted email, phone and notes only when that reviewer choice is recorded. A limited organizer can review historical names, company, title and safe submitted business links for private event administration; historical email, phone and notes remain withheld from that viewer. Private program enrollment is separate from verified account membership, optional directory visibility and marketing. Named organizer/community relationships are not accepted peer requests; older members choose the newly disclosed organizer messaging channel themselves. Blocks, disconnects and withdrawal close access. No organizer viewer can read unrelated private peer messages.
New members who select United States request Field & Capital organization email updates through the disclosed Join action, unless they choose no emails or previously opted out. Outside the United States or with an unknown region, updates require a separate affirmative request. Existing memberships are not backfilled with email consent. Signing in, editing a profile or rejoining never restores a prior email opt-out. Use Field & Capital email preferences to unsubscribe without leaving membership or hiding your directory profile. Email delivery is subject to current consent, suppression and verified sender controls; no campaign is sent by a membership action. SMS and Tailgate email choices remain separate.
Every active Field & Capital membership has a permanent organizer relationship with the existing Tailgate Host for community administration. This does not record mutual member consent, grant members private contact access, send a message or publish a private profile. The Host can review private check-ins and member information and moderate forum content under the existing owner privileges. Leaving removes membership access and directory visibility; historical administrative records are retained.
Field & Capital connection requests require the other member’s acceptance before private one-to-one messaging. Its inbox and profiles stay separate from Oilfield Tailgate. Only the two currently eligible participants can open an accepted conversation. Disconnecting or blocking closes messaging; unblocking does not restore acceptance. The existing organizer cannot browse unrelated private inboxes. If you report a message, only the selected excerpt and your report are shared for moderation. No external email or SMS message notifications are sent.
Submitting a signup or contact form enrolls you in free membership and all Oilfield Tailgate email communications, and enables member connection requests, as stated beside the submit button. Previous email unsubscribe and spam preferences are preserved when you submit any form, including an RSVP or shop inquiry. Existing member contact preferences are preserved, and saving an existing profile does not resubscribe you to emails.
Oilfield Tailgate emails: Use Unsubscribe in a marketing email, then confirm on the unsubscribe page to stop those communications. Older email links also open this confirmation page. If your link is missing or incomplete, email Matt with an unsubscribe request from the address receiving the emails. Opening this privacy page alone does not change your preferences.
Communications from members: Open My profile in Member Connect, uncheck Allow new connection requests, and select Save privacy preferences. You can also hide your profile. Existing conversations remain available; use Block in Messages to stop other members from continuing a conversation. Member Connect automatically connects you to Matt Hill, when your membership opens. This admin connection stays accepted and cannot be blocked or removed. Your email unsubscribe and directory visibility choices still apply.
These controls are also linked from the sitemap. Unsubscribing or reporting an Oilfield Tailgate email as spam stops email communications only. You can still sign in, use Member Connect and the forum, connect with members, RSVP and attend parties. Your contact information, membership and existing connections are preserved. Signing in, submitting forms and routine imports or profile updates do not restore your email subscription. Turning off member requests alone does not unsubscribe you from emails. Contact Oilfield Tailgate to request access, correction or deletion of your contact information. Some information may be retained when reasonably necessary for security, recordkeeping, legal obligations or resolving a request.
Information is retained only as reasonably needed for the purposes described here. Reasonable administrative and technical safeguards are used, but no internet transmission or storage system can be guaranteed completely secure.
Oilfield Tailgate is family-friendly, but this website and its forms are directed to adults. We do not knowingly request personal information from children under 13 without a parent or guardian.
